Question: Discuss about the Business Communication Issue for Email. Answer: Introduction: Communication is an effective way of sharing idea among people in an organization. Business communication is a process through which people in an organization share their ideas with the internal and external party. The purpose of business communication is to attain profitability. The employer share idea with the employee regarding the purpose of the organization. Organizations are using business communication as a tool to share information about the products and services(Fielding,2006). Effective business communication helps in resolving business issues. This can be used as an effective tool to manage conflicts within the organization. Information within an organization flows in a hierarchy form depending upon the structure of the organization. The success of an organization depends upon the structure of the organization. Communicating business idea in an informal organization is an issue because information flows in asymmetrical manner (Bhatia Bremner,2014). It is a difficult task to keep a track over the flow of information as communication sometimes causes interruption. Large organizations are facing difficulty in communicating their idea as information when flows through different channel are manipulated. Modern business organizations are using different tools to communicate their idea which include circular, memo, emails. Majority of organizations are using email to communicate information within or outside the organization. E-mail is a fastest mode of communication used by every individual to share information in an effective manner(Bargiela-Chiappini Nickerson,2014). Process of communication Business communication in an organization takes place in a systematic manner where the idea is communicated through different channels. Firstly the idea which needs to be communicated is prepared. The prepared message is send through the transmission medium. Here E-mail is sent to the receiver where internet is a message carrier. The receive message is encoded by the receiver (Soundaraj, 2007). It is recommended to seek feedbacks in order to know whether the correct information has reached to the recipient or not. E-mail is an effective way to keep a record of the information and one can easily keep a track over the flow of information (Bhatia Bremner, 2012). Types of business communication Business communication can be internal or external depending upon the requirements. It helps in building a robust business mechanism where the ideas are communicated in a proper manner (Fleisher Bensoussan, 2015). Internal business communication includes all the formal and informal communication that takes place within an organization. Effective internal communication is an important mean of addressing the problems within an organization. This helps in increasing the job satisfaction, productivity and safety of the employees (Cleland, 2014). Whereas external communication is a medium through which the idea related to the business are shared with the outside party. External business communication equally contributes towards the success of the business. Organizations are communicating with the stakeholders in order to share information about the business. Major amount of communication in an organization is carried through e-mail (Guffey Loewy, 2012). Email is a modern way of communication used by the business organizations to share some information. They are using it as an important tool to communicate business idea in a faster manner. Business manager are interacting with their employees through e-mail to keep a proper check over their activities. Business person can interact with the internal and external stakeholder while sitting at one place of the world. E-mails are now considered as an official mode to communicate within or outside the organization (Newman Ober, 2016). Advantages Price- it is a very cheap mode of communication in spite of distance and the number of people. Proper internet connectivity is required to send message. Speed- one of the speedy modes of communication which reaches recipient in minutes (Cleland.2014). E-mail is known to be the fastest mode of communication to share business related information. Convenience- one of the convenient method to communicate and can easily reaches to a large number of people. E-mail is known to be an efficient tool to communicate idea related to business. Permanent records- record of messages can be kept in inbox and can be used in future (Kaul.2014). The records can be kept for an indefinite period. Information can be retained from the system when required (Gibson, 2002). Poor business Communication Model The organizations are facing majority of issue due to improper communication system. the disturbances caused during communication procedure affect the transmission of information. Noise in the communication channel affects the overall productivity of a business organization. E-mail needs to be unambiguous and should provide clear information to the recipient. Under such a condition proper feedback is necessary for understanding that the roper information is delivered to the recipient. Causes of issue in business communication through E-mail Problem in business occurs when the responsibilities are not properly delegated within the business organization. Few organizations lack in sharing proper authority which affects the efficiency of an organization (Dawkins, 2005). It is the responsibility of the management to deliver responsibility in a systematic manner. it is the responsibility of the senior authority to make proper use of knowledge to delegate responsibilities in an efficient manner. Issues in an organization are caused due to inefficient design of the business process. E-mail is used as an important tool by the organizations to share information but at certain time it has become difficult to keep a track over the information. Large organizations are facing problem in addressing information through e-mail as it has certain limitations. Business communication in recent times has created issue as it lacks personal touch. Employer tends to send information through E-mail that affects the purpose of communication (Kaul, 2014; Mannan, 2013). Challenges caused by E-mail Organizational efficiency is suffered when e-mails go unreciprocated for days which affect the organizational result. This type of behavior affects the employer largely that employee is either getting away from responsibilities at work. Moreover e-mail is imperfect form of communication because it largely depends on receiver. The purpose of sending e-mail is only resolved when a quick reply related to the message is received. E-mail doesnt help to distinguish the kind of character working with because it involves transmission of nonverbal characters (Noon,2006). Email is not an effective mode of communication when monitoring an organization with a workforce of 50 or more employees. This makes it difficult to build trust due to behavioral invisibility. Moreover an employer cannot monitor the number of cold calls made by the sales representative or accounts personnel. The manager is bound to listen to the employees grievances which are compulsorily needed to be addressed (Thill, Bove Chatterjee,2013). Cultural differences cause slow communication. The Multi-cultural team takes time to understand the cultural differences within an organization. Different countries have different organizational culture which makes it difficult to recognize ideas. How to address the challenges There is a huge requirement to address the problem caused while communicating business information through E-mail. There is a necessity to avoid over communication through e-mail as it affects the purpose. It is advised to be precise while communicating information through E-mail. The subject line in an e-mail needs to be properly highlighted so that the attention of the audience can be grasped. It is recommended to send a brief message and avoid using unambiguous language. Moreover there is a necessity to re-read the message in order to avoid silly mistakes caused while communication. The messages need to be written in polite language to complete the communication (Mai Hoffmann, 2014). Conclusion Majority of organization come across problems that are caused while communicating business idea. E-mail is a modern age tool used by the business organizations to share information with the internal and external stakeholders. The business organization are facing problem caused by random information that is caused due to improper flow of information inside the organization. E-mail lacks personal touch which disrupts growth of an organization. There is a necessity to address the challenges posed.
